DIRECTOR OF OPERATIONS / OFFICE MANAGER
INDIANAPOLIS OFFICE

The Director of Operations/Office Manager is responsible for directing the day-to-day operations, building a quality and data driven culture, managing and developing staff, assuring high quality and patient-centered care, sound fiscal operations, maintaining a strong referral base and compliance with regulatory agencies. 

The Director of Operations/Manager has direct oversight of financial and operations, including responsibility for results in terms of productivity, methods of work, profit and loss, and employee retention.

Job/Position Specific Duties

  • Accountable for creating an environment and culture that focuses on fulfilling the organization’s mission, vision, and values.

  • Operational oversight of the following departments that effectively drive patient care outcomes:

  • Admissions

  • Authorizations

  • Medical Claims

  • Accounts Receivable/Collections

  • Oversees and directs quality and performance improvement. Monitors compliance with productivity and performance standards.

  • Maximizes profit margins based on services rendered.

Supervisory Responsibilities

REVENUE CYCLE COORDINATOR
GRIMES OFFICE

The Revenue Cycle Coordinator is responsible for processing all recurring patient equipment and supplies in compliance with payor source requirements. As well as ensuring that claims, denials and appeals are efficiently processed.

This position is knowledgeable of the specific provisions in Medicare, commercial and Iowa Medicaid (Managed care organization) contracts as they relate to billing/reimbursement. Individual shall be knowledgeable of the most current coding policy and patient confidentiality requirements.

Position requires strong telephone, verbal and written communication skills, knowledge of customer service principles and practices, and time management skills with the ability to multi-task.

Job/Position Specific Duties

  • Ensures complete, accurate and timely fulfillment of patient equipment and supply orders.

  • Work effectively with ICD-10 Codes and CPT codes, Revenue codes, and HCFA 1500 terminologies in accordance with federal, state, and commercial payor-specific regulations pertaining to documentation and coding.

  • Submits DME claims accurately and timely in compliance with all applicable company policies and procedures to meet Accreditation and company standards.

  • Identifying and billing secondary or tertiary insurances.

  • Monitor, identify and resolve claim discrepancies, denials, appeals, collections with payor sources.

  • General knowledge of accounting principles and medical claims.

  • Provides excellent customer service to internal and external customers; resolves any customer requests in a timely and accurate manner; escalates complaints accordingly.

  • Regularly attends all team and staff meetings.

  • Attends additional training, performs research, e-learning to stay current on best practices and new practice management technology and functionality as it becomes available.

  • Performs other work-related duties as assigned.

  • Answers the telephone and disburses calls in a friendly, prompt and professional manner. Conveys messages accurately and appropriately.

  • Pursues activities with focus and drive, defines work in terms of success, and can be counted on to complete goals.

  • Adherence to standards of business conduct and compliance.

CLINICAL DOUMENTATION COORDINATOR
GRIMES OFFICE

The Clinical Documentation Coordinator is responsible for preparing, processing, and organizing medical records for all patients of Diabetic Equipment and Supplies. This position will coordinate with insurance companies, physicians’ offices, and patients to obtain clinical documentation and CMN’s (Certificates of Medical Necessity) for all patients

Individual shall clearly identify, analyze, and rectify issues while maintaining confidentiality of all protected health information.

Position requires strong telephone, verbal and written communication skills, knowledge of customer service principles and practices, and time management skills with the ability to multi-task.

Job/Position Specific Duties

  • Initiate and complete clinical documentation and CMN requests within a timely manner.

  • Obtain medical records, lab reports, and other documentation when necessary.

  • Create, send, and follow up on all CMNs (certificate of medical necessity) and other supporting medical documentation requests required for billing and ordering.

  • Review CMN's and medical documentation for accuracy prior to logging in system.

  • Collaborates with supervisor and internal departments, as needed, to provide account status updates and coordinate the resolution of issues.

  • Provides excellent customer service to internal and external customers; resolves any customer requests in a timely and accurate manner; escalates complaints accordingly.
